Trade spend & deductions: accounting for the money that never arrives

For brands that sell through distributors and retailers, a large share of revenue never lands as cash. Promotional allowances, slotting fees, shortages, compliance fines, and chargebacks are all netted out of what you are paid. How you account for that spend decides whether you can see, control, and recover it, or whether it quietly eats your margin every month.

Trade spend is not one thing

It helps to separate deductions into two buckets. The first is legitimate trade spend: agreed promotions, discounts, and allowances that are a real cost of selling through a channel. The second is disputable deductions: duplicate charges, invalid shortage claims, pricing errors, and fines you can push back on. Lumping them together in one catch-all account hides both how much you are really spending to sell and how much you are losing to error.

Accounting that gives you control

Sound practice records deductions against meaningful accounts, ideally as a reduction of revenue for genuine trade spend and separately flagged for anything under dispute. That way your net revenue reflects reality, your gross margin by channel is honest, and open disputes are visible rather than written off by default.

This connects directly to reconciliation: matching what you shipped, what you invoiced, and what you were paid is what surfaces the deductions in the first place. Once they are visible and categorized, patterns emerge, and disputes can be filed within each partner's deadline before the right to recover expires.

Why it pays off

Brands that treat deductions as a managed line rather than background noise recover money they would otherwise lose, price their channels with real margin data, and present cleaner financials to lenders and investors. It turns a frustrating black box into a controllable part of the business.
